Yes - you must register online through MAP by the deadline of Friday 1 June  even if you wish your degree to be conferred in your absence or if you wish to defer graduation until a future ceremony. 

If you want to be awarded ‘in-absentia’ (not attend the ceremony or any future ceremony), you must confirm the address where your certificate should be posted to (through MAP) otherwise you will not receive your certificate. Your award will be posted after the ceremonies have taken place (the certificate needs to be validated by the Chancellor or their designated representative at the degree congregations first).

Please do not wait for exam results before registering; failure to register by the deadline will result in you not graduating. If you are in any doubt as to whether you will graduate you must still register via MAP. If necessary, your name can be withdrawn at a later stage.

No, you should not take registration to mean that you have successfully completed your programme of study. If you are in any doubt about your eligibility to graduate, please contact your appropriate School of Study. 

All graduands are guaranteed two free guest tickets for their ceremony. These tickets have to be booked online via the Town Hall Birmingham Box Office. Tickets for the March 2018 graduation ceremonies can be booked from Monday 11 June 2018. Information about how to book your guest tickets will be sent to you by email closer to the date,  please keep checking your mailboxes. 

Please note: If you do not contact the Box Office for your two free guest tickets then there will not be any tickets available for you on graduation day.

If any guests are travelling from overseas, we would encourage them not to book flights before you book guest tickets.  The University will not held responsible for any costs incurred by your guests due to the lack of guest tickets.

If additional guest tickets become available, then the Graduation Office will contact you with a date and time to book the tickets (which will cost £20.00 each plus a transaction charge which is made by the Town Hall Birmingham Box Office). These tickets will be sold on a first come first serve basis and you will only be able to obtain a maximum of two additional tickets.

You will need to hire the appropriate academic robe from Ede & Ravenscroft and wear smart attire. 

The ceremonies are formal occasions and graduands are advised to dress appropriately.  We welcome national dress for international students and military uniforms are also acceptable.

We would also recommend that you wear shoes in which you will feel comfortable climbing up/down steps and walking across a large stage. 

It is advisable to bring some safety pins for your gown and hairgrips may be useful for your hat. 

Please note that if you wear a turban, then this will exempt you from wearing an official graduation cap. If you wear a headscarf then the graduation cap will go over the top (please measure over your headscarf for your hat size). 

There is no dress code for guests, however we do recommend smart attire.

We strongly advise booking your academic robes in advance of your ceremony.  Robes hired on graduation day will cost you more. Robes can be collected from room G63 at Aston University on graduation day. Signs will be displayed and there will be helpers to point you in the right direction. You should collect you gown at least two hours before your ceremony:

Robes can be collected from the following times:

07:30 for morning ceremonies (10:30).

10:30 for afternoon ceremony (13:30).

13:30 for afternoon ceremony (16:30)

You must be robed before proceeding to Checkpoint at the Town Hall Birmingham.

Your robes will need to be returned to G63 by 19:00 on the same day.


Ideally you should arrive onto at least two and half hours before your ceremony commences. This will allow you adequate time to collect your robes from the university, travel to the Town Hall and collect your guest tickets (if applicable) and register at Checkpoint.


In order to take part in the ceremony, you must be at the Checkpoint in the Town Hall Birmingham an hour before the start of your ceremony i.e. 

  • 09:30 (GMT) for the 10:30 ceremony
  • 12:30 (GMT) for the 13:30 ceremony
  • 15:30 (GMT) for the 16:30 ceremony

Once you have checked in, you must find your seat in the auditorium and remain seated until the ceremony begins. If you fail to check in or check in late you may not be allowed into the ceremony or be conferred on stage by the Chancellor or their designated representative. Please note we will not delay the ceremony for you as this causes disruption for all concerned, please be considerate of your fellow graduands and their guests and arrive on time.

Coats and bags should be left with your guests or in the cloakroom at Aston University or the Town Hall Birmingham; you will not be allowed to carry them with you when you process into the auditorium.

Guests with tickets should find their seats in the auditorium whilst you go to Checkpoint.  University and Town Hall staff will be on hand to assist.
As long as you have stated the correct School and award e.g PhD, MSc, BSc, Foundation, on the order - your robes should be correct.

If you attend the ceremony you will receive your certificate in person during the ceremony (providing you do not have a university debt). You will also usually receive a diploma supplement with your certificate.  The diploma supplement provides additional information about your degree, including module grades. If you do not attend, your certificate and diploma supplement (if applicable) will be sent to you in the post, please allow three weeks for delivery in the UK and four weeks for overseas addresses.

Please note, if you have not registered via MAP,  you will not receive your certificate as we do not know the correct address to post the certificate.

There is no parking available on the University campus.  Parking can be found at Millennium Point (which is located a few minutes walk away from the University) or alternatively city centre parking.

The University will be offering a coach shuttle service to the Town Hall Birmingham and back for graduands and guests from 08:00 until 18:00. The University and the coach company does not take any responsibility for graduands and guests who arrive late for the ceremonies. It is the responsibility of graduands and guests to arrive on time. Do not wait for guests who are running late, if you do not arrive at Checkpoint on time, there is a risk of you not being allowed into the ceremony.

We have limited parking on the University campus.  There is no disabled car parking at the Town Hall Birmingham. Any graduands or guests requiring disabled car parking need to contact the graduation office for advice. You will need to provide details of your blue badge in order to obtain a disabled car parking space; make, model and registration number for your car will be asked for by the graduation office, without these details we cannot provide a car parking space for you.
If you or your guests have a disability or need any additional requirements please enter the requirements onto MAP when registering for your ceremony. Aston University will make every effort to ensure that individual needs are met.
