Aston University use an umbrella body to manage the DBS checking process.  First Advantage 'FADV' provide a comprehensive DBS service with full UK coverage, including Disclosure Scotland DBS checking service process and interpret the results of all DBS applications.

DBS checks can be arranged for both staff and students as required.

Is a DBS required for a role?

A role that involves regular work with children or vulnerable adults may require a DBS check. The decision about whether a DBS check is needed, should always be based on the particulars of the role to ensure there is a legitimate reason for asking an individual to undergo a DBS check.

The online eligibility checking tool will assist you in deciding whether a DBS check is required for a role https://www.gov.uk/government/publications/dbs-check-eligible-positions-guidance. Your HR Business Partner will also be able to advise you.

DBS application Process (staff)

If a new or existing role requires a DBS, HR will arrange for the role holder to have access to the FADV system to complete an online application. 

For new roles, the requirement for a DBS check should be clearly stated in the job details. Once the new role holder has been appointed, the Recruitment team will arrange for them to have access to the online application system. 

For existing roles that take on a new activity that requires a DBS check, the HR Administration team will arrange access to the online application system.

The result of the DBS check is communicated through the online FADV portal and then subsequently stored electronically on an employee’s Core record for the period the DBS is required.  

Information for Managers of Students

Certain academic courses at the University involve working closely with patients and members of the public and a DBS check may be required on enrolment on to these courses and at other times during the course.

DBS application Process (students)

Each school has a Disclosure Manager in the School Office who will arrange for students to have access to the GBG system to complete an online application. 

The result of the DBS check is communicated through the FADV online portal.

Mandatory reading and information

Employees using the First Advantage system are required to read the University's Safeguarding Policy and also to undertake the online safer recruitment training.
